2. Pick a good spot for the station

Where the dispenser sits makes a bigger difference than most people expect.

  • Close to an outlet, so there's no extension cord across a walkway.
  • On a level floor with a little breathing room behind the unit.
  • Away from heat and direct sun, such as a south-facing window, a radiator or the microwave.
  • Easy to reach for jug changes. A full 5-gallon jug is heavy. Leave enough room to lift and set a new one without squeezing into a corner.
  • Out of the main traffic lane. Near the kitchenette or breakroom is ideal, but not right beside a door that swings open.
  • Room for the extras. Plan a small counter, shelf or cart beside the dispenser for cups, plus a wastebasket or recycling bin within arm's reach.

For a bigger floor or a multi-level office, a second station can save a lot of walking.

3. Stock the right water

6. Assign an owner and a simple upkeep routine

Even with delivery on autopilot, a station works best when one person keeps an eye on it. That's usually the office manager or whoever handles the kitchen supplies. Their checklist can be short:

  • Weekly: empty and wipe the drip tray, wipe the taps, and tidy the cup area.
  • At every jug change: wash hands first, avoid touching the cap area, and wipe around the top of the dispenser.
  • Before each delivery: gather empties in one spot so the swap is quick.
